The following terms and conditions apply to all our services and can only be modified with prior agreement from us in writing. BeijingToursGuide.com reserves the right to modify or rescind the terms and conditions in whole, or in part at any time with or without notice. Tourists are deemed to have read, understood & accepted the below conditions.

Reservation & Payment

1)   Upon your booking request, one of BejingToursGuide.com experienced tour consultants will build the itinerary to your satisfaction.

2)  Upon the receipt of your deposit of 50% of the tour cost per person, we will secure your reservation by sending you a confirmation letter and process your final booking immediately. No deposit will be charged: 1) if you just book a half one day tour or a one day tour; 2) if your tour doesn’t include our flight and hotel booking service.

3)   We accept 3 ways of payment. Please see the details at Payment Guide.

4)   Receipt of your deposit or final payment will indicate that you have read these Terms and Conditions, and that you have accepted them.

NOTE: Our quotes are stated clearly in USD & RMB. The prices are calculated based in RMB, and the exchange rate we apply is 1RMB:6.7USD. As the exchange rate is unstable at present, there might be a small variation between our original quotation and the actual payment, which is usually 1-3% higher or lower than the original quotes in USD.

The 50% tour cost as deposit shall be paid according to the agreed quotation, and the balance fee shall be paid to the tour guide by cash in RMB during your meeting in China. Currently, the RMB keeps appreciating against USD. Thus, we suggest you pay the full amount of the tour expense so as to avoid the losses due to the change of exchange rate.

Cancellation & Refund

 We understand when you have to cancel the tour out of necessity. Then you just need to submit your cancellation request in a written way by email or fax. If we have confirmed and reserved the tour for you upon the receipt of your deposit of 50% of the full payment or full payment, cancellation fee is incurred and shall be calculated according to the date we receive your written cancellation.

The cancellation fee will be charged at

1)  50USD per person – cancellation received no less than 30 days before departure

2)  150USD per person – cancellation received 30 to 15 days before departure

3)  50% of the full payment per person – cancellation received from 14 to 7 days before departure cost

4)  100% of the full payment per person – cancellation received from 6 to 0 days before departure

Refund shall be paid according to the above cancellation policy. However, we are unable to refund any amount for unused services due to your willingness, early departure, late arrival or missed days on tours.

Alternation of Itinerary

No charge for your itinerary alterations before the booking. Alterations after the deposit will result in a fee of 25USD per person. Fairly, all expenses incurred by Beijing Hutong Tour due to the third parties such as airlines and hotels are the responsibility of the customer’s.

Complaints and Claims

During your tour, shall you feel unsatisfied with any service BeijingToursGuide.com has provided, please notify your local tour guide or your travel consultant to avoid the potential for similar problems happening again.

After the completion of your tour, in the event of a complaint or claim or compensation, you must inform us by email, post mail, or fax in writing within 15 days from the end of your tour. Relevant receipts and substantiating evidence must be attached to the letter of claim. We are not liable for any claims made later than 15 days after the completion of your tour.

Health Requirements

A client should consider all international travel risks. He should familiarize himself with the health requirements applicable to the areas they intend to tour. The client is solely responsible for checking the safety and security conditions, vaccination, and other health requirements of governments in the countries visited or transited. For example, a tourist to Tibet are required to provide a doctor’s certificate stating that he/she is fit to travel with normal blood pressure and heart condition. This is a necessary requirement because the very high altitude may have bad effects on some people. 

Travel Documentation

A client must be in possession of a valid passport and visa or permit at the commencement of travel. All such documentation is the sole responsibility of the client. Your travel consultant could assist you in applying for the necessary travel documents upon request. Beijing Hutong Tour accepts no responsibility or liability whatsoever for the failure of clients to obtain appropriate documentation.

Insurance

Beijing Hutong Tour tour packages include China Life Tourist Accident/ Casualty Insurance up to a maximum of $29,000 provided free of charge. Insurance is not applicable where only hotel or flight is purchased through our service. However, we still highly recommend that you purchase full coverage travel insurance from your country of origin.

Luggage Allowance

In terms of regulations of the General Administration of Civil Aviation of China, the free baggage allowance within China is 20kg for the economy class, 30kg for the business class, and 40kg for the first class, plus limited carry-on luggage. Extra baggage charges are the sole responsibility of the client. Regulations within China specify that all suitcases must have a locking device attached. Failure to follow this regulation may result in refusal by airport staff to load suitcases onto the aircraft.

Liability

Beijing Hutong Tour reserves the right to substitute hotels, flights, or cruise ships, to alter itineraries, or to cancel the tour prior to departure. If BeijingToursGuide.com has cancelled any tour prior to the commencement of the tour, Beijing Hutong Tour is liable for a full refund of the money received from the client.

Beijing Hutong Tour shall not be responsible for any wrongful or negligent or fraudulent, omissions, changes of itinerary, cancellation or the failure of any equipment operated by those suppliers or any other party not directly owned by Beijing Hutong Tour.

Beijing Hutong Tour shall not be liable for any loss, injury, or damage to person or property, alteration of itineraries or cancellation in part or in full, caused by climatic conditions, sea fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or conditions beyond Beijing Hutong Tour’s control.

Beijing Hutong Tour is not responsible for a client’s failure to comply with customs regulations.

Beijing Hutong Tour is not responsible for the theft or loss of any customer’s valuables or items of personal property due to the negligence of the customer.

Many of Beijing Hutong Tour tour packages include activities which require care and attention, such as going ashore from boats, climbing hills and entering and exiting tombs, etc. You will receive help and advice from our representatives but all activities are undertaken at your own risk. Beijing Hutong Tour, its employees and agents shall not be responsible for any accident that occurs after its said employees and agents have exercised their duty and taken the necessary care.

Modification or Discontinuance of Service

Beijing Hutong Tour reserves the right to modify or discontinue service to clients who behave illegally or objectionably toward its employees and agents, included obscene, racially offensive or of sexual nature behaviors.
